Job Description / Duties

Responsibilities:

Acts as a primary contact for students looking for financial assistance and scholarship options.
Administers the provincial government student aid programs for Manitoban students (MSAP), out-of-province Canadian student aid programs (ex. Ontario and OSAP), and the federal government student aid program for all Canadian students (CSL).
Researches, stays current with, and understands policies and procedures on government loans and grant programs as determined by provincial and federal governments of Canada.
Authorizes student loan applications, tracks documentation, and monitors student status.
Determines complex over-awards, over-payments and refund requests from student loan recipients and communicates decisions to students.
Interprets and reviews major declarations, credits completed, transfer credits, and grade point averages to advise on appropriate programming and specific awards for students
Oversees and maintains large volumes of complex financial records and data.
Administers US Federal Student Aid (FASFA) and other US loan programs and assists with annual US loan audits.
Maintains award applications data and records for Awards and Financial Aid.
Compiles, coordinates and organizes Work/Study job descriptions, account numbers, and financial data as needed.
Provides administrative support to the Coordinator for the Work/Study and Employee Tuition Programs.
Acts as a liaison with other University Departments/Schools and external organizations, which includes developing, coordinating and distributing information to contacts (staff and students) as required.
Responds to inquiries regarding the full range of student financial support options. Mails correspondence and responds to inquiries related to programs.
Prepares relevant award letters and mass mailings for selected groups, to ensure all audit requirements are met.
Coordinates and participates in special projects and events with large and small groups of students, parents, and the public to relay information on financial assistance options.
Outlines award criteria and application procedures for all internal and external University award programs and provides information and guidance.
Represents the department on various committees as required (ex. Fee Appeals Committee).
Provides exit counselling and refers students to other Student Services Reviews annual updates from the government as it relates to the University’s requirements and responsibilities.
Applies and interprets policies, procedures and regulations, to ensure the efficient and effective operation of student loan and award programs for students, staff and general public.
Prepares reports as requested and summarizes relevant data and statistics.
Analyzes and organizes information through research for the Coordinator and Director.
Adheres to FIPPA regulations and the University Records Policy.
Other duties as assigned.

Qualifications / Required Skills


Undergraduate degree or equivalent experience.
A minimum of one to two years related administrative experience preferably in a post-secondary environment.
Knowledge of university regulations, programs and policies as they relate to Student Services, award programs, and student loan programs.
Knowledge of university awards programs, government student aid programs and post-secondary educational sector in Canada.
Must be committed to the mission of The University of Winnipeg and have a high level of personal integrity and professional initiative.
Experience in policy interpretation, budgeting, and statistical analysis.
Demonstrated ability to administer and implement projects.
Demonstrated knowledge of current practices and theories in student services.
Demonstrated knowledge of university degree programs, structure, and requirements.
Demonstrated ability to conduct workshops and presentations.
Strong computer and analytical skills: Proficient with knowledge of Windows (Word, Excel, PowerPoint). Experience with Ellucian Colleague is an asset.
Solid understanding of information technologies and their applications as well as desktop computer applications.
Proven ability to establish and maintain effective working relationships with various levels of internal and external contacts on a variety of programs and projects.
Must be able to relate positively and professionally with students, administrators, faculty, and be able to deal constructively with a variety of people both on and off campus.
Strong interpersonal skills and ability to communicate effectively and tactfully when dealing with students, faculty, administrative and student services staff, and the public.
Positive, collaborative and supportive approaches, with good general business knowledge.
Ability and desire to establish positive relationships with students from diverse backgrounds and able to work effectively and in harmony with a variety of employees, faculty, staff, students and administrators.
Superior organizational and problem resolution skills.
Ability to organize, motivate, and advise people.
Ability to prioritize, work under pressure and manage multiple task to meet deadlines.
Ability to cope successfully with fluctuations in workloads changing priorities and environment of regular interruption.
Ability to work independently as well as to participate effectively as a member of a team.
Must be willing to work occasional evenings and/or weekends as schedules demands.

Salary: $42,988.40 - $48,393.80
