Job Description / Duties
Key Responsibilities:
• Administrative Support:
o Assist the President with scheduling meetings, preparing agendas, and managing correspondence.
o Support the Secretary in maintaining accurate records, preparing minutes of meetings, and handling official documentation.
o Aid the Treasurer with financial record-keeping, processing invoices, and preparing financial reports.
o Assist the Web Administrator with updating website content, managing online resources, and coordinating digital communications.
• Communication:
o Serve as a point of contact for webform communications, ensuring timely and professional responses.
o Draft, proofread, and distribute official communications and newsletters.
• Data Management:
o Create webforms, maintain and update databases, ensuring data accuracy and confidentiality.
o Generate reports and provide data analysis as needed.
• General Office Duties:
o Perform other administrative tasks as assigned to ensure smooth operations of the association.
Lines of Reporting:
• Reports to: President, Secretary, and Treasurer
• Works closely with: President, Secretary, Treasurer, and Web Administrator
• Supervises: N/A
Remuneration:
• This position offers a monthly stipend of $1,000 which covers all administrative tasks as outlined in the job description to cover approximately 40 hours per month. The stipend will be paid monthly and is designed to provide a consistent and predictable income for the duration of the employment contract.
Working Arrangements:
• This role is 100% remote, allowing for flexible working hours. The successful candidate must have access to a phone, laptop and a reliable internet connection to perform their duties effectively.
Qualifications / Required Skills
• Proven experience as an administrative assistant or in a similar role.
• Excellent organizational and time-management skills.
• Strong written and verbal communication abilities.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with web content management systems.
• Ability to work independently and collaboratively in a team environment.
• High level of discretion and confidentiality.
• Experience in a non-profit or educational organization is preferred.
• Experience with Exware or similar web content management systems, considered an asset.
• Proficiency in English: written and verbal, proficiency in French: written and verbal considered an asset.
Salary: Monthly stipend of $1,000 approximately 40 hours per month.
