Job Description / Duties

Reporting to the Associate Registrar, Enrolment Services, the Undergraduate Awards Manager serves as the senior leader for the University with principal responsibility for the selection and disbursement of undergraduate student awards, scholarships and bursaries that align with the University of Calgary strategic mission, vision, values and goals. The new manager will continue to evolve an already strong approach to the development undergraduate awards program and continue to seek new ways to reach designed goals.

The Undergraduate Awards Manager will lead a team and operation that is collaborative, forward thinking, data-informed and innovative with technology and is responsible for coordinating successful strategies that focus on supporting recruitment, retention and overall success of students, and management of government award programs.

The successful candidate will have an understanding of the award, scholarship and bursary landscape; a keen understanding of the award development cycle; an analytical and collaborative approach to decision making; and an appreciation of the technology and innovation to enhance practices required for success. A commitment to student success and campus community engagement is essential.

Position Description

Summary of Key Responsibilities (job functions include but are not limited to):

Student Award Management:
◾Responsible for managing the life cycle of all on-going functions within the undergraduate awards, scholarship and bursary programs
◾Accurate and timely reporting is provided internally to the Associate Registrar, Enrolment Services, the University community and externally to funding agencies
◾Ensures the accurate and efficient delivery of undergraduate award services, including administration of award processes, application of relevant policy and student record maintenance
◾Ensures that knowledge required for accurate service delivery is acquired and shared. Collaborates with the financial aid unit to ensure alignment of financial need assessment is accurate
◾Manages any anomalies or issues are dealt with promptly and consistently and brought to the attention of the Associate Registrar, Enrolment Services as needed
◾Long term planning through policy development, goal setting and outcome measurement is initiated and followed through
◾Ability to track and preserve data for comparative analysis
◾Demonstrate the utilization of statistical information and data to determine growth and needs of the undergraduate awards program in support of the recruitment and enrolment strategy

Client Services:
◾Accurate account reconciliation is provided to all funding agencies according to their stated timelines
◾Processes and procedures are evaluated and changes implemented to increase service, efficiency and effectiveness in support of the Office of the Registrar work plan and goals of the university
◾Provide the faculty award administrators, faculty development officers and the Development Unit receive annual training and correspondence related to policy and process updates and changes
◾Lead, development and respond to the changing needs of the undergraduate students, the faculties and specific specialized populations as well as the University strategic plans as it related to the Undergraduate awards program
◾Ensures undergraduate students seeking funding receive effective and timely support and guidance
◾Establish and maintain effective work relationships with students, faculty, staff and community

Communication:
◾Ensures the integrity of electronic communication strategy, print and on-line including; website information for all stakeholders including, students, staff and community by all members of the Undergraduate Award office
◾Ensure good relations are developed and maintained with administrative staff and faculty members, both within the Office of the Registrar and with other units on campus
◾Undergraduate scholarship policies and procedures are communicated effectively and transparently
◾Manage and lead an annual communications plan
◾Manages the process of external communication with students receiving awards, electronically and in print
◾Present and facilitate information as needed

Training and Supervision:
◾All hiring, staff performance management, staff retention planning, discipline including termination within the scholarship group as defined by the Human Resources processes
◾Creation of annual documentation to support staff training, knowledge transfer are developed and shared. Undergraduate Awards staff are trained, supervised and evaluated effectively
◾Manages the training of other departments related to the Office of the Registrar including; Recruitment, Enrolment Services, Admissions, and financial aid

Technical:
◾Develop an in depth understanding of the functionality and potential of the Campus Solutions PeopleSoft student awards module
◾Responsible for the enhancement and maintenance of the online award application
◾Act as the lead for the maintenance and enhancement initiatives related to the PeopleSoft Student Awards system
◾Manage a senior staff member, Awards Technical Analyst ensuring proper testing, configuration, and function of the system as necessary for the functions of the Undergraduate Award processes
◾Maintain a roadmap of planned application upgrades, improvements and maintenance as needed including specifically, online award application, assessment engine and student award module in the Student Centre
◾Close collaboration with ADSM working Group and with campus partners is required to ensure that the Undergraduate award processes are effectively and efficiently supported by IT and PeopleSoft support team
◾Perform project management responsibilities and required
◾Adapt existing technology tools and procedures to create alternative solutions to complex problems related to the PeopleSoft Awards module

Financial:
◾Responsibilities include assisting in budget management for all scholarships programs, tracking scholarship disbursement in an efficient manner for all annual projects and endowed projects
◾Responsible to review all award project accounts and funding available for all award competitions annually and monitors all scholarship accounts
◾Assists with the preparation of budget allocation for the Associate Registrar, Enrolment Services approval; including allocation of funds, transfer of funds, financial award appeals and approved disbursements
◾Verify endowment funding and allocation to award project accounts with the Treasury department annually
◾Responsible for identifying inactive awards and action resolution

Qualifications / Required Skills

Qualifications / Requirements:

◾A university degree is required; a master’s degree is preferred


◾3-5 years of progressive experience directly related to student awards administration in a post-secondary setting with experience in student services


◾3+ years of leading and managing teams, including performance management and development


◾Demonstrated ability to supervise, organize, motivate, manage performance, mentor and develop staff


◾Demonstrated success at assessing staff training needs, development and delivery of training programs and the ability to develop and maintain complex documentation.


◾Demonstrated ability to lead innovation and leverage technology to support and enhance service delivery


◾Must embrace change and have demonstrated success in supporting and leading change in a complex, results-oriented environment


◾A positive collaborative and supportive leader, able to organize, motivate, mentor and develop people. An ability to establish objectives and to implement the strategic plans to meet those objectives


◾Ability to prioritize team needs against other projects and requests from multiple stakeholders
