Job Description / Duties
Characteristic Duties & Responsibilities:
• Meet with and correspond with donors to determine the terms of reference for a student award.
• Assist donor in drafting a Statement of Intent.
• Prepare material for Senate Committee on Awards.
• Prepare letters to donors announcing Senate approval for awards.
• Create donor files; maintain up-to-date progress on a tracking system.
• Move Senate-approved terms to awards compendium; ensure terms are loaded to electronic awards table.
• Prepare amendments to terms of reference on an ongoing basis; obtain necessary approvals from donors and academic units.
• In collaboration with the Director of Advancement Services, advise in the preparation and mailing of stewardship letters to all donor contacts of endowed funds in support of student awards.
• In collaboration with the Director of Financial Aid and Awards, develop an awards profile of each faculty including number of awards available per student, amount of award funding available per student, and each of the above determined according to each year of program.
• Meet with deans and directors in all faculties to review unit’s award profile in the area of student awards, and document the most urgent needs of the unit.
• In collaboration with the Department of Advancement Services, develop a campaign plan to raise funds for student awards to meet the needs of academic units.
• Communicate with faculties and departments to ensure donors of award funds are appropriately recognized, including receptions for recipients and donors, invitations to special unit-based events, newsletters, etc.
• Encourage students receiving scholarships and fellowships to write thank-you letters to donors.
• Support other areas of the office as required.
• Perform other related duties as assigned or required.
Qualifications / Required Skills
Education:
• University degree required, preferably in a related discipline.
Experience:
• One year of directly related administrative experience.
• Must have experience working with the public and in a busy environment.
• Experience working in a student-oriented office required.
• An acceptable equivalent combination of education and experience may be considered.
Skills and Abilities:
• Knowledge of University of Manitoba policies and procedures and how they relate to students is preferred.
• An understanding of post-secondary educational institutions and awards preferred.
• Excellent interpersonal and verbal and written communication skills essential.
• Must be an excellent proofreader and accurate in producing all written materials.
• Excellent organizational skills and attention to detail.
• Must have proficient keyboarding and advanced computer skills working in a Windows environment (eg. MSWord, Excel and WordPerfect).
• Knowledge of Aurora Student/FAST an asset.
• Ability to adapt to an ever-changing computerized environment.
• Must be able to work independently and as part of a team.
• Must be able to handle large workloads with strict deadlines.
• Must present a professional image.

Salary: $44,353.40 - $56,802.20
