Job Description / Duties
•Provides basic office assistance to the Awards Selection Coordinator
•Processes award offers, acceptances, refusals, disbursements, deferrals, refunds and cancellations.
•Assists with the spring and fall convocation award processing (preparing reports, engraving instructions, distribution listings for ceremonies and public affairs, labels, mail-outs, cheque requests).
•Creates award applications and processes completed applications
•Enhances the University entrance scholarship program (advertising, updating applications, web updates, queries, helping set up information sessions, high school mail-outs, mailing award offers to students).
•Processes University award applications, ranks candidates and finalizes offers. Processes external award applications (e.g., Business Council of Manitoba Aboriginal Awards).
•Works closely with external government undergraduate funding programs like NSERC and CIHR (processing applications, confirming eligibility, preparing payroll forms and status reports).
•Assists with the University of Manitoba Bursary selection process.
•Records correspondence related to, and cheques received for, externally funded awards and forwarding payments received to the Department of Development and Advancement Services.
•Confirms enrolment and eligibility of award recipients for various off campus organizations who provide funding to University of Manitoba students.
•Completes reports generated by Revenue, Capital, and General Accounting authorizing refunds to students who are award recipients.
•Assists with preparation for special events and also works at the events disbursing information and answering queries from attendees. Assists with special events, such as information days, leader of tomorrow interviews, parents program, convocation, entrance scholarship presentation and reception, evening of excellence.
•Performs other related duties as assigned or required.
Qualifications / Required Skills
Education:
• Completion of a formal training program in a related discipline from a recognized institute.
Experience:
• Three years of directly related experience in a student-oriented office required.
• Experience working with the public in a busy environment required.
• Preference will be given to those who have worked in an Awards based environment.
• An acceptable equivalent combination of education and experience may be considered.
Skills and Abilities:
• Must have excellent interpersonal and communication skills (oral and written) to efficiently relay information internally and externally.
• Superior organizational skills, attention to detail, and the ability to maintain a neat and orderly work area are required.
• Must be meticulous and completely accurate in producing written materials.
• Must be able to handle large workloads with strict and demanding deadlines.
• Must be able to work independently as well as part of a team.
• Must be able to work as a self-starter and to initiate action as necessary.
• Must be able to learn quickly, retain knowledge easily and seek new knowledge as necessary.
• Must have good keyboarding skills and familiarity with a Windows environment.
• Must have the ability to adapt to an ever-changing computerized environment.
• An understanding of post-secondary educational institutions and awards preferred.
