Job Description / Duties
The Service Stop in Student and Enrolment Services is currently seeking a Full-time Regular Financial Aid Coordinator.
Reporting to the Assistant Registrar, Enrolment Services, the Financial Aid Coordinator serves as the institutional lead administrator and government liaison for all financial aid programs at the University of Calgary. Responsible for awarding over $90 million annually in aid to students, this position also provides support to approximately 25 student advisors across both main and distance campuses and will be involved in supervising financial aid advisors, officers and administrators.
Position Description
Summary of Key Responsibilities (job functions include but are not limited to):
- Provide expert analysis and advice to students and advisors regarding admission, registration and fees as related to financial aid
- Direct the workflow and disbursement of financial aid funding practices for the university
- Participate in user testing for system upgrades and changes to service delivery that will impact the student record, student financial accounts, the Student Finance Board of Alberta and Canada Student Loans
- Ensure staff are trained and that reference/training materials are up to date and available that represent all student loan programs across Canada and the United States
- Create a calendar of critical events related to financial aid to be used to identify staff training, communications and activities to support the student cycle
- Liaise with the Student Awards Office, Student Receivables, Graduate Studies and distance programs and campuses to research and inform policy and process changes, accountabilities and/or initiatives
- Assess and evaluate student registration to assist with government loan application appeals applications
- Maintain student financial records and related documentation to ensure information is accurate and current
- Adhere to all legal and regulatory requirements, to uphold audit and compliance of all financial aid disbursement in Canada and the United States including FOIP legislation
- Manage the student financial record function ensuring deadlines are met
- Monitor and audit financial aid interactions on PeopleSoft student administration system and the student account to meet compliance accountabilities, and mitigate infractions and opportunities for fraudulent acts
- Ensure the integrity of the financial aid process is maintained by implementing and enforcing controls, and making recommendations for change to policy and implementing changes to procedures and unit operations
- Develop and manage online Confirmation of Registration processes and service strategy including managing workflow of staff to provide student loan advising and support
- Ensure accurate reporting of financial aid activity including loan signing processes, confirmation of registration, tuition remission, and amend processes and prepare report summaries for internal/external analysis
- Act as the primary University of Calgary contact for government loan agencies
- Maintain and enforce loan signing authority
- Oversee all government bursary cheque disbursements and returned cheques, and ensure accurate reporting on the student file and to appropriate government agencies
- Liaise with Student Finance Board regularly to investigate student loan issues and to resolve complex cases related primarily to financial aid
- Collaborate with Planning and Systems to ensure accurate annual reporting of program costs to student loan agencies
- Track out of province loan documentation, and implement and enforce controls to ensure advisors are adhering to National Student Loan Centre legislation
- Ensure that Enrolment Services and the University meet all government compliance regarding the student loan process
Qualifications / Required Skills
- A minimum of an undergraduate degree
- Two to three years of financial aid and or enrolment related experience
- Demonstrated financial management experiences as they relate to the student financial record and student financial aid
- Demonstrated understanding of government student loan policies, processes and accountabilities
- Supervisory experience in financial accounting and account reconciliation
- Demonstrated understanding of the legislation and compliance of Canada student loan programs, specifically, Alberta Student Finance Board regulations and signing approval processes
- Exceptional interpersonal and organizational skills
- Strong time management skills and the ability to delegate and follow up on tasks and report progress
- Demonstrated experience managing multiple competing priorities
- Strong listening and communication skills
- Strong computer proficiency and experience with PeopleSoft and government systems
- Knowledge of the student lifecycle and University of Calgary operating procedures
- Must embrace change and have demonstrated successful experience supporting and leading change
- Proven ability to lead and direct others
- Demonstrated assessment of staff training, needs, development and delivery of training programs, and the ability to develop and maintain complex documentation
- Ability to leverage technology to support service delivery and staff training
