Job Description / Duties
• Represents the University as the first point of contact in the Admissions Office for potential students, parents, high school counsellors, etc. as well as current students
• Provides accurate/timely information on a wide range of topics including: admission requirements and procedures, application deadlines, status of applications, confirmation of acceptance, etc.
• Directs inquires for specialized information to appropriate individual or department
• Ensures students and parents receive guidance and advice during all aspects of the application process
• Receives and sorts Admissions mail on a daily basis, matching mail with the appropriate student files and identifying the action to be taken for each file
• Responsible for the daily filing of incomplete, complete and continuance files and for refilling all files to maintain the integrity of the Admissions filing system
• Assists with the annual “clean-up” of files in September to ensure that appropriate action has been taken.
• Assists with processing applications to the Faculties and the pre-professional programs:
o Creates hard copy files and performs detailed application data entry functions
o Evaluates and determines Admission requirements with separate and specific selection criteria
o Assesses and admits high school domestic/international applicants according to established criteria
o Performs data input (data entry, advanced early, interim and final grade entry) and coding of applicants and ensures that the relevant forms are issued
o Produces and verifies acceptance letters, document request forms, etc. for correctness and accuracy prior to computer-run batch and e/mails them to students
o Assists with categorizing program specific documentation, collating and e/mailing the official Letters of Acceptance, Document Request letters, user name/password letters that are generated from the batch runs and ensuring that program specific information is sent to students
o Monitors files throughout the processing cycle for completion of documentation and notification of Admission assessment results
o Develops and maintains a good working knowledge of guidelines, policies and best practices in domestic and international admissions to determine if requirements have been met
o Assists with high school grade workflows and with tracking missing grades and other information from schools
o Provides a preliminary review of documentation submitted to meet English language requirements
o Updates all applicant computer records via Colleague continuously throughout the year as documentation is received
• Performs other duties as assigned.
Qualifications / Required Skills
• Completion of a university degree
• Two years of direct experience in a university Admissions area
• Knowledge of Student Information Systems, preference given to knowledge of Colleague
• Excellent interpersonal skills with the ability to interact in a professional and courteous manner
• Strong oral and written communication skills focusing on customer service and the delivery of accurate information
• Ability to organize work effectively as numerous jobs which require accuracy and attention to detail often need to be completed simultaneously
• Ability to prioritize and cope with fluctuations in workload in a high pressure environment
• Ability to work with complex systems in a fast paced and dynamic environment with constant interruption
• Ability to treat personal information with confidentiality
• Ability to work independently, and cooperatively as part of a team to make appropriate decisions
• Good working knowledge of computers utilizing a Windows environment and various software applications including MS Word, Excel
• Ability to develop a familiarity with the structure of the Admissions Office, the programs of study offered, the University course offerings and organization, and to develop a solid understanding of the University in general
• Ability to quickly develop a good understanding of University policies and procedures as they relate to the Admissions Office functions
• Ability to work occasional overtime, as needed, during peak periods.
